Sunset Walk Terms & Conditions

Entry fees and registration

Registration for Sunset Walk opens on Friday, 2 February 2024, and closes on Thursday, 20 June 2024 at 9am. There is a pricing structure consisting of an early bird price from 2 February to 2 April 2024, then general sale, and then on-the-day pricing.

All participants are encouraged to raise a minimum of £100 to support St Nicholas Hospice Care.

There is no minimum or upper age limit for participants taking part in the Sunset Walk. However, any participants under 18 years of age must ensure the consent section is signed by a parent or guardian and must be accompanied by and walk with an adult over the age of 18 either along the 10km or 15km route. Additionally, all participants (regardless of age) must agree to the ‘Fit to Participate’ declaration as part of the registration process.

Once you have signed up for the walk, you will receive your confirmation pack via email. You will also receive details on how to collect your event T-shirt and paper lantern in the next few weeks, and route maps will be available closer to the event.

Included in your entry fee are live music along the route, refreshments at dedicated water stops, a medal, hot drink, and cake on completion.

Cancellation policy

Places for the Sunset Walk are non-transferable and non-refundable. If you are unable to take part for whatever reason, you must inform us as soon as possible, return your paper sponsor form and close your online giving page, even if it has no sponsorship entries.

If you have received sponsorship, please let your sponsors know that you are no longer able to take part. Sponsorship can be offered back although any fees incurred to St Nicholas Hospice Care from online donation pages or equivalent will be deducted first.

If St Nicholas Hospice Care cancels the event, we would seek to provide an alternative date or offer a refund to participants.

The walk

The Sunset Walk will take place in the Abbey Gardens at 6pm. At the start of the event there will be an event village, and during the walk there will be an opportunity to remember loved ones.

As the walk starts, both distances take place on the same part of the route. There will be a split for the longer distance, and the routes will join back up for the last point entering back into the Abbey Gardens.

The routes will be on public roads and footpaths. Road closures will be in place at certain points of the walk. It is the participant’s responsibility to follow the Highway Code at all times, and to conduct themselves in a safe manner. We also recommend that walkers should bring their own torch for the event.

Participants are responsible for their own medical condition and ensure they are fit to complete the walk. Please consult your doctor if you suffer from heart, joint, back or breathing problems or any other medical condition that may affect your ability to take part.

There will be marshals along the routes to direct participants to follow the routes. If participants wish to withdraw from the walk, they must let a marshal know.

Participants cannot be under the influence of alcohol during the Sunset Walk.

Only guide dogs are accepted; no other pets or animals are permitted to accompany walkers or marshals.

Entrants with limited mobility are advised to contact the Fundraising Team in advance for advice on the suitability of the route.

For safety reasons, we will implement a cutoff point. All walkers must reach Mustow Street by 8.30pm. Those unable to complete the full 15km distance will be diverted to the finish point to collect their medal, hot drink and cake. All participants must be finished by 10pm.

The Sunset Walk is not a race, no running or jogging is allowed.

Raising money

We ask that participants aim to raise a minimum of £100 in sponsorship. All sponsorship money and forms should be returned to us by Monday, 2 September 2024. You are not permitted to use any of the sponsorship money raised to pay for your entry fee or any expenses. All sponsorship money must be given directly to St Nicholas Hospice Care.

Sponsorship can be paid in via the Pay in your Fundraising page, on the Hospice website: https://stnicholashospice.org.uk/contact-us/pay-in-your-fundraising/. Please ensure that you state your details, including name, address and if your sponsorship is part of a team effort.

We must be able to keep you informed of important updates and information regarding this event, so we will use your email address and postal details to contact you. Please provide accurate details when registering.

Promotion and publicity

At the event, Hospice photographers and videographers will be capturing images for use in publicity. If you are uncomfortable with your image being used in future publicity, please notify the Hospice’s Fundraising Team in writing, and/or express your wishes to those photographing on the day.

On the night, representatives from the local media and other organisations are invited to attend. This includes reporters, photographers, and videographers. During the event, they may wish to speak to you, take photographs or record a short interview. It is your decision whether to agree to their request. St Nicholas Hospice Care does not have any influence over how the information you share with them is used, or when and where images may appear. If you have any concerns on the night, please speak to a member of the Events Team from St Nicholas Hospice Care.

We reserve the right to ask anyone to leave the event at any time if you fail to meet our terms and conditions.
