St Nicholas Hospice Care 10K Run Terms and Conditions

Entry fees and registration

Registration for the St Nicholas Hospice Care 10K Run opens on Wednesday 22 May 2024, and closes on Thursday, 26 September 2024 at 9am. There is one entry fee cost of £25 per entrant.

Event participants are encouraged to gather sponsorship if they can, either by setting up a JustGiving page, or via paper sponsorship forms.

The minimum age for participants taking part in the 10K Run is 15 years. Any participant under the age of 18, must be accompanied by a responsible adult during the event at all times. All adults are responsible for the capability and safety of those participants who are under 18 years old.

Once you have signed up for the run, you will receive your confirmation email and during the countdown to the event, emails from St Nicholas Hospice Care regarding the event, including important event information.

Included in your entry fee is a water stop at the halfway point, post-event refreshments, and a finishers medal.

Cancellation policy

Places for the 10K Run are non-transferable and non-refundable. If you are unable to take part for whatever reason, you must inform us as soon as possible, return your paper sponsor form and close your online giving page, even if it has no sponsorship entries.

If you have received sponsorship, please let your sponsors know that you are no longer able to take part. Sponsorship can be offered back although any fees incurred to St Nicholas Hospice Care from online donation pages or equivalent will be deducted first.

If St Nicholas Hospice Care cancels the event, we would seek to provide an alternative date or offer a refund to participants.

The run

The 10K Run starts and finishes from Angel Hill, Bury St Edmunds. At the start of the event there will be an Event Village with food, trade stands, and music.

The route is on public roads and footpaths. There are partial road closures, particularly at the start and finish point of the event. It is the participant’s responsibility to follow the Highway Code at all times, and to conduct themselves in a safe manner.

Participants are responsible for their own medical condition and ensure they are fit to complete the run. Please consult your doctor if you suffer from heart, joint, back or breathing problems or any other medical condition that may affect your ability to take part.

There will be marshals along the routes to direct participants to follow the routes. If participants wish to withdraw from the run, they must let a marshal know.

The St Nicholas Care 10K Run will be chip-timed, by an external company. They will endeavour to have live results available on the event website shortly after the event. Additionally, official results will be sent out by email during the next working day after the race.

On the day, please ‘check in’ at the Registration Tent to receive your running pack, with your bib number and chip. Please ensure your running bib is clearly visible.

To keep event runners safe, we advise that if headphones are worn, they are at a moderate sound level so you can hear any event safety messages or announcements from marshals.

Prizes will be awarded to the top three in the following categories fastest female (18+), fastest male (18+) and junior (15-18 years). All finishers will receive a medal.

Unfortunately, we cannot accept dogs or other pets competing at this event. Anyone seen racing with a dog will be disqualified.

Entrants with limited mobility are advised to contact the Fundraising Team in advance for advice on the suitability of the route.

Buggies or prams are allowed but they are not allowed to race competitively and must start at the back.

Participants cannot be under the influence of alcohol during the 10K Run.

Raising money

We encourage participants to try and raise some sponsorship towards the work of St Nicholas Hospice Care. Any sponsorship money and forms should be returned to us by Monday 28 October 2024. You are not permitted to use any of the sponsorship money raised to pay for your entry fee or any expenses. All sponsorship money must be given directly to St Nicholas Hospice Care.

Sponsorship can be paid in via the Pay in your Fundraising page, on the Hospice website: https://stnicholashospice.org.uk/contact-us/pay-in-your-fundraising/ please ensure that you state your details, including name, address and if your sponsorship is part of a team effort.

Using your data

We must be able to keep you informed of important updates and information regarding this event, so we will use your email address and postal details to contact you. Please provide accurate details when registering.

Promotion and publicity

At the event, Hospice photographers and videographers will be capturing images for use in publicity. If you are uncomfortable with your image being used in future publicity, please notify the Hospice’s Fundraising Team in writing, and/or express your wishes to those photographing on the day.

On the day, representatives from the local media and other organisations are invited to attend. This includes reporters, photographers, and videographers. During the event, they may wish to speak to you, take photographs or record a short interview. It is your decision whether to agree to their request. St Nicholas Hospice Care does not have any influence over how the information you share with them is used, or when and where images may appear. If you have any concerns on the night, please speak to a member of the Events Team from St Nicholas Hospice Care.

We reserve the right to ask anyone to leave the event at any time if you fail to meet our terms and conditions.
