Festive Fun Run Terms and Conditions

Registration 

Registrations for the Festive Fun Run will open on Monday16 September, and close on Thursday 12 December at 9am. The early bird offer expires on Monday 4 November at 4pm.

We encourage participants to register in advance to guarantee a medal and Santa hat. However, we will allow on the day sign-ups but cannot guarantee these items.

Entry fees 

Adult (18 years+) – Early bird £10, full price £12.50

Child (5-17 years, under 5s free) – Early bird £5, full price £7.50

Family (2 adults and 3 children) – Early bird £25, full price £30

*Early Bird offer ends 4 November at 4pm

Places are non-transferable and non-refundable. If you are unable to participate for whatever reason, you must inform us as soon as possible.

We are unable to offer a refund on registration fees. If you are unable to participate in the event, and have raised sponsorship, we suggest that you let your sponsors know. Sponsorship can be offered back although any fees incurred to St Nicholas Hospice Care from online donation pages or equivalent will be deducted first.

Minimum sponsorship 

Fundraising is incredibly important to St Nicholas Hospice Care. It costs around £8m each year to run our Hospice services and statutory funding only covers around 80% of those costs. We are totally reliant on the goodwill and generosity of our community – our participants – to make sure we’re here for the people who need us.

We are asking participants to try and raise a minimum of £50 in sponsorship. Fundraising can be done online via our JustGiving event page or via a sponsorship form. All sponsorship money and forms should be returned to us by Monday 13 January 2025. You are not permitted to use any of the sponsorship money raised to pay for your entry fee or any expenses. All sponsorship money must be given directly to St Nicholas Hospice Care.

Age of participants  

There is no minimum or upper age limit for participants taking part in the Festive Fun Run. However, any participants under 18 years of age must ensure the consent section is signed by a parent or guardian and must be accompanied by and run with an adult over the age of 18 either along the 2.5k or 5k course.

Additionally, all participants (regardless of age) must agree to the ‘Fit to Race’ declaration as part of the registration process.

The 2.5k / 5k course  

The course suitability has been checked by the Events Manager, and is deemed suitable for most participants. Due to the nature of the terrain and time of year, some areas may be muddy. Some of the course will also be on gravel paths which may be difficult for wheelchairs and prams. Entrants with limited mobility are advised to contact the Fundraising Team (events@stnh.org.uk) for advice on the suitability of the route in advance.

The course will be fully signposted with St Nicholas Hospice Care directional arrows, and route marshals, who will guide you. Please do listen and obey their instructions.

You are responsible for your own health and wellbeing; please do not take part unless you are fit and confident enough to take on the distance. Please do consult a doctor prior to registration if you have any concerns. We will have First Aid cover at the event from Challenge First Aid so please do use them, if needed.

If you choose not to complete the full distance, please do let a marshal know. We will be signing runners back in as they cross the line, and for health and safety reasons, we must know who is still out on the course.

Dogs 

Culford School have very kindly allowed dogs on site, and participants are able to run with their dog. They must be kept on a short, handheld, non-extendable lead at all times. Dogs must keep alongside their owner at all times whilst on the course. Please be a responsible owner and pick up any mess from your dogs.

Promotion and publicity 

At the event, Hospice photographers and videographers will be capturing images for use in publicity. If you are uncomfortable with your image being used in future publicity, please notify the Hospice’s Fundraising Team in writing, and/or express your wishes to those photographing on the day.

Cancellation Policy 

If you cancel, the registration fee is non-refundable. Sponsorship can be offered back although any fees incurred to St Nicholas Hospice Care from online donation pages or equivalent will be deducted first. If St Nicholas Hospice Care cancels the event, we would seek to provide an alternative date or offer a refund.

On race day, if the weather is severe or forecast to become severe during the duration of the event, the race start time may change, the start may be postponed or the event may be cancelled.

If an event is cancelled due to circumstances beyond our control, we will do our utmost to be reasonable. However, refunds cannot be offered. We will look to rearrange the event.
