Girls Night Out Terms and Conditions

Registration

Due to the National Mourning period observed for the Queen’s Passing, and subsequently the 2022 Girls Night Out on Saturday 10 September being postponed, registered walkers have opted to either attend the 4 March event, to take part virtually or to donate their entry fee.

For any new registration entries, these will open on Friday 30 September, and close on Thursday 2 March at 9am. It may be possible to sign up on the night, but ‘on the day’ entry places are very limited. We still ask that you try to raise the minimum suggested amount of sponsorship. There is no guarantee of bunny ears or medal if you sign up on the day.

The minimum age for participants is 14. There is no upper age limit. Walkers under 18 years of age must ensure the consent section is signed by a parent or guardian and are accompanied by an adult walker over the age of 18.

There is a £20 per person entry fee, which covers all expenses and refreshments. Places are non-transferable so if you are unable to walk for whatever reason you must inform us as soon as possible.

Once you have signed up for the walk, you will receive your confirmation pack via the email address you submitted. The online confirmation pack will include a route map, memory card and downloadable sponsorship form. Should you need paper copies, please email GirlsNightOut@stnh.org.uk.

Cancellation policy

If you cancel, the registration fee is non-refundable, sponsorship can be offered back although any fees incurred to St Nicholas Hospice Care from online donation pages or equivalent will be deducted first. If St Nicholas Hospice Care cancels the event, we would seek to provide an alternative date or offer a refund.

The Walk

The route will be on public roads and footpaths at night. Road closures will only be in place at the start of the event. It is the walker’s responsibility to follow the Highway Code at all times, and to conduct themselves in a safe manner. We also recommend that walkers should bring their own torch for the event.

Both the 11.2 and 6 mile walks will be along the same route for the first few miles. Please note those walking the shorter route will not come to the Hospice grounds. A memory board will be available on Angel Hill and outside the Hospice building.

Participants are responsible for their own medical condition and ensuring they are fit to complete the walk. Please consult your doctor if you suffer from heart, joint, back or breathing problems or any other medical condition that may affect your ability to take part.

Participants cannot be under the influence of alcohol at Girls Night Out.

Only guide dogs are accepted on Girls Night Out; no other pets or animals are permitted to accompany walkers or marshals.

Entrants with limited mobility are advised to contact the Fundraising Team for advice on the suitability of the route in advance.

To keep everybody involved in Girls Night Out as safe as possible, we aim for everyone to finish by 11pm. There will be a ‘quick finish’ route at approximately mile 8 – the Southgate roundabout for the 11.2 mile walkers who are unlikely to reach the finish line by this deadline.

Girls Night Out is not a race and no running or jogging is allowed.

Raising money

We ask that participants aim to raise a minimum of £100 in sponsorship. All sponsorship money and forms should be returned to us by Monday 20 March. You are not permitted to use any of the sponsorship money raised to pay for your entry fee or any expenses. All sponsorship money must be given directly to St Nicholas Hospice Care.

Using your data

We must be able to keep you informed of important updates and information regarding this year’s event, so we will use your email address and postal details to contact you. Please provide accurate details when registering.

Promotion and publicity

At the event, Hospice photographers and videographers will be capturing images for use in publicity. If you are uncomfortable with your image being used in future publicity, please notify the Hospice’s Fundraising Team in writing, and/or express your wishes to those photographing on the day.

On the night, representatives from the local media and other organisations are invited to attend. This includes reporters, photographers and videographers. During the event, they may wish to speak to you, take photographs or record a short interview. It is your decision whether to agree to their request. St Nicholas Hospice Care does not have any influence over how the information you share with them is used, or when and where images may appear. If you have any concerns on the night please speak to a member of the Events Team, who will all be wearing blue jackets.

We reserve the right to ask anyone to leave the event at any time if you fail to meet our terms and conditions.
